WhatsApp Compliance Packs & Service Logs for UK Landlords

Instantly share gas safety, EICR and EPC compliance packs via WhatsApp or by pasting the secure link into an email, and keep a clear record of when and how you say you sent them.

  • Send packs via secure WhatsApp links instead of large email attachments.
  • Copy the same secure link into an email or letter template if your tenants prefer email.
  • Keep a single place to record how you served documents, instead of hunting through chats and inboxes.
  • Void mistakes and revoke links if you send them to the wrong person.
  • Review recorded link opens and downloads without treating them as proof of recipient identity or reading.

Secure, time-limited links with revocation controls.

Why we built this

When someone asks “Did you send the gas safety cert?”, you need more than a messy WhatsApp history. This workflow helps landlords keep a clean, central record of how they say they shared important documents with tenants or contractors.

WhatsApp & Smart Sharing

Share securely from your browser. Generate a secure link instantly and send it via WhatsApp with a pre-filled message, or paste the link into your usual email to the tenant.

Smart Reuse: We reuse active links created in the last 24 hours to keep your dashboard tidy.

The Service Log

Keep one place to check. Each time you share a pack, you can create or update a service log entry – for example “Gas safety certificate link sent to Alex Jones via WhatsApp on 12 March 2026”.

Quickly scan your history by property, tenant or document so you can see what you recorded sending, and when, without trawling through chats.

Controlled Access

CertNudge creates a unique, time-limited link rather than putting the document into the message itself.

Auto-Expiry: Compliance-pack and certificate-document links expire after 7 days by default to limit long-term access, and you can revoke them from your dashboard if you send them to the wrong person.

Example: New tenancy move-in

For a new tenancy you create a move-in pack with the gas safety, EICR and EPC, send the secure link to the tenant via WhatsApp, and then add a service log entry so you can later see what you say you sent, how and when.

Keep a Clear Sharing Record

Compliance isn't just about having the document; it's about keeping a clear record of what you say you sent and how you sent it.

  1. Generate a compliance pack link for your tenant (for example a move-in pack with gas, EICR and EPC).
  2. Share the secure link via WhatsApp or email using the pre-filled message or your own wording.
  3. Create or update a service log entry recording what you say you sent, to whom, and when.
  4. Use correction tools to void typos without deleting the history, and revoke links if you send them to the wrong person.
Sharing
Compliance Packs

Bundle gas safety, EICR and EPC into a single "Move-in Pack" link. You can quickly add a service log entry for the pack as part of the sharing workflow so you can see what you recorded sending later.

Timeline
Correction Tools

Made a typo in a log? You can Void incorrect entries without deleting the record history, keeping the correction visible.

Control
Link Management

Review the recorded download count without treating it as proof of recipient identity or reading. Sent the link to the wrong person? Revoke it from your dashboard and add a new service-log entry if you resend it.

Frequently asked questions

Does the Service Log prove that a tenant received or read a document?

No. The Service Log records the actions you say you took (for example, that you generated a link and noted that you sent it via WhatsApp or email). Entries are created and managed by you and do not, on their own, prove delivery or that a tenant opened or read a document.

What if I send a link to the wrong person?

You can revoke the link from your dashboard so it can no longer be used. You can also add a new log entry when you resend the pack to the correct person so your records reflect what you say happened.

For related record-keeping guidance, see the Eviction Ready Evidence Pack. It does not replace legal advice.

Note: The Service Log is a record of the actions you say you took when sharing documents. It does not constitute legal proof that a document was delivered, opened or read, and it is not a substitute for legal advice on serving notices.
